Automations
What they are. A rule does a piece of routine by itself, the same way every time: when something happens to a card, it does one thing. Open Automations (managers and admins). The page is laid out like the board: the rules on «a new card appears», then the rules on each stage. A column on the board with rules on it shows a small lightning mark with their number — click it to see them.
When. A card enters a stage — whichever way it got there: dragged on the board, moved in the app, by the AI agent or through the API. Or a new card appears in this pipeline. Choose right away or after a while (minutes, hours, days); a delayed rule acts only if the card is still on that stage — a card that has moved on is left alone. That is how you say «stuck for 3 days».
Only for some cards. Optional: where the card came from (phone, WhatsApp, Telegram, Instagram, website, added by a person), whether it has an owner, a tag it carries, an amount from.
What it can do.
- Create a task — for the card's owner, for whoever your team rules pick, or for a named colleague, due in N minutes, hours or days. The task is marked Rule and the person is told as with any task.
- Give the card to somebody — a named colleague or the least loaded one.
- Move it to another stage of the same pipeline. When your account asks for a reason on lost cards, a rule that closes a card writes its own name as the reason.
- Add a tag.
- Write to the customer in the chat they last wrote in (WhatsApp, Telegram, Instagram). WhatsApp and Instagram deliver a free message only within 24 hours of the customer's last message; outside that, a WhatsApp rule can send one of your approved templates instead — otherwise the card says the message was not sent. A customer on your do-not-contact list is never written to. The message appears in Chats.
- Tell the managers — managers and admins get it in the app and on their own Telegram, with a link to the card.
Start quickly. Under New rule, the ready rules fill the form for you: call a new customer back within 15 minutes, give every new card an owner, tell the managers a card is stuck for 3 days, thank the customer when the deal is won. Change anything before saving. {name} and {phone} in a text are replaced with the card's name and phone.
What to expect. A rule acts only on what happens after it was saved or switched on — the cards already sitting on a stage are not touched. It fires once per card per stay on the stage; if the card leaves and comes back, it fires again. Each rule shows how many times it worked in the last 30 days and how many times it could not, and the card's history says which rule did what — or why it could not (for example, «more than 24 hours since the customer wrote»). Switch a rule off with its toggle; deleting it keeps what it already did. Up to 50 rules per account.
From your own systems. The same rules are in the API (/api/v1/automations) and in the MCP tools; a rule that writes to customers, drafted by an AI assistant, is created switched off and is turned on here, by a person.
