Documents (estimates, invoices, receipts)

What is it?

Create and send informal estimates, invoices and receipts at Documents. Add line items (service, qty, price, discount, tax) — the total is computed for you, in any currency. Each document links to the customer's contact and to the deal, so when it's paid the lead moves to Won automatically.

The top of the page shows a money summary — how much is outstanding (issued & unpaid), overdue (past due date), and collected this month — per currency.

Services menu: if enabled, build a reusable list of services (name, price, duration) on the Services page — then use "Pick a service" in the invoice editor to fill a line in one click, no retyping.

These are commercial documents, not fiscal/tax documents (not a 54-ФЗ чек, a счёт-фактура, or a KZ ЭСФ) — every document carries that note.

Branded PDF + share link:

Open any document and click PDF for a branded, printable version (your business name, address and payment details come from Business details on the Documents page, which an admin fills in). Or copy the public share link — anyone with it opens the PDF, no login. A voided document's link stops working.

Getting paid (payment-agnostic):

Works with no payment provider — put your bank / cash details in "Payment instructions" and they print on the document. Optionally paste your own payment link (Stripe, PayPal, Kaspi…) to add a "Pay" button. When the money arrives, click Mark as paid and the linked deal becomes Won.

Deposits: set a Deposit % on any document to ask for a partial prepayment — it shows "pay X% now, balance later" (great for holding bookings and cutting no-shows).

Estimates → invoices:

Send a quote as an Estimate; when the customer agrees, open it and click Convert to invoice — every line, discount and tax copies into a fresh invoice (its own number), and the estimate is marked Accepted. No retyping.

Status flow & who can do what:

Draft (edit freely) → Sent (locked) → Paid or Void. Operators create, edit and convert estimates; only admins can mark paid or void. Every action is written to the action journal.

AI-drafted invoices (opt-in):

If enabled for your account, your AI assistant can draft an invoice straight from a call or chat. Once it and the customer agree on what to bill, it prepares a draft with those line items — totals computed for you — and links it to the customer and the deal. It always lands as a Draft for you to review and send: the AI never sends an invoice and never takes payment. It tells the customer the invoice was "prepared for review", never "sent" or "paid". Sending and payment stay your explicit, human steps. Default OFF. Turn it on yourself in Settings → Automation: tick "Estimates, invoices and receipts", then "Let the AI prepare drafts". Amounts come from your Services list, so fill that in first.
